As a Billing Specialist, you play a crucial role in upholding the financial integrity. This role demands careful attention to detail, accuracy in data handling, and dedication to ensuring precise and timely billing procedures. Responsibilities include overseeing various billing tasks, from creating invoices to managing customer interactions, supporting senior management, and facilitating communication between different company entities.

Type of Hire: Contract to Hire Title: Billing Specialist Location: Santa Maria, CA Work Schedule: Day Shift, M-F, In Person Compensation: $20.00 – $27.00

PRINCIPAL DUTIES:

  • Ensure accurate documentation of all pertinent information, including service specifics, quantities, and pricing, on invoices to prevent discrepancies.
  • Input data into accounting systems and databases meticulously, conducting thorough checks to maintain financial precision and credibility.
  • Maintain up-to-date and organized accounting records with issued invoices, processed payments, updated balances, and customer contact details.
  • Generate invoices for customers in a timely and accurate manner, ensuring prompt and precise billing.
  • Efficiently and accurately manage the processing of credit memos when necessary.
  • Prepare clear and concise customer account statements regularly.
  • Address customer inquiries, resolve billing discrepancies, clarify charges, and facilitate payment arrangements to uphold high levels of customer satisfaction.
  • Assist the accounting team in preparing financial reports, contributing to financial analysis and decision-making processes as required.
  • Monitor payments, analyze billing data, and prepare detailed monthly billing reports to monitor financial performance.
  • Process incoming payments from customers accurately, recording transactions via various methods such as checks, credit cards, and electronic transfers.
  • Maintain detailed and organized customer accounts, ensuring accessibility to historical data as needed.
  • Actively participate in optimizing the billing process to improve efficiency and reduce errors.
  • Establish effective communication channels with domestic and international offices to resolve inter-company account issues, demonstrating strong interpersonal and cross-cultural communication skills.
  • Support senior management as necessary to contribute to departmental and organizational success.
  • Demonstrate flexibility and readiness to undertake additional responsibilities as assigned, proactively contributing to team achievements.

REQUIREMENTS

  • Qualification in an accounting-related discipline or equivalent educational background.
  • Basic knowledge of accounting principles is required.
  • Strong administrative, client relations, communication, organizational, and social skills.
  • Capable of managing multiple tasks efficiently while ensuring privacy.
  • Effective time management abilities with proficiency in handling various deadlines.
  • Thorough and flexible team member comfortable in a fast-paced setting.
  • Proficient in productivity software such as Microsoft Office (Excel, Word, PowerPoint) and/or GSuite (Google Sheets, Docs, Slides).
